The Charity of Jane Wright collects necessary personal data about you (which includes but may not be limited to name, address, email, phone number and certain sensitive personal information). Such details are required by us to allow us to run our charity and maintain a board of Trustees and to provide necessary services to residents in the normal course of our business of operating an Almshouse and grant making charity
Why we need your data
We need to collect Trustees’ details to run the charity and comply with statutory obligations connected with filing requirements at the Charity Commission for example. We need to collect resident’s personal data in order to provide services in line with our letter of appointment and Resident’s Handbook. We also collect relevant sensitive personal information about residents and their next of kin family members. Again, this information is essential to us so that we can provide the necessary support and assistance as part of the normal operation of running an Almshouse Charity. We will not collect any personal data unless we need it in order to provide and oversee services to you.
What we do with your data
All the personal data we process is processed in the UK. Third parties have access to your personal data only when they are engaged with us in providing relevant professional services.
We have a Data Protection regime in place to oversee the effective and secure processing of your personal data.
How long do we keep your data
We keep your personal data whilst you remain a trustee or beneficiary of our Charity or are connected in some way and for a period of up to 6 years after you cease to be connected.
What we also need to do with your data
We also need to pass your data on to third parties but we will only do so to third parties who have a relevant professional relationship with us and the data passed on to them will be relevant to the service we provide. For example, Be Independent, who operate our Warden Call system, will need resident’s contact your details plus those of their next of kin and emergency key code number so that they can assist in an emergency. Contractors who are employed to carry out plumbing work will simply require basic details of name address and phone number.
What are your rights
If at any point you believe the information we process is incorrect you can request to see this information and have it corrected. If you wish to raise a complaint on how we have handled your personal data, you can contact us to have the matter investigated.
If you are not satisfied with our response or believe we are processing your personal data not in accordance with the law you can complain to the Information Commissioner’s Office https://ico.org.uk
